Backup notes to USB (one-file workflow)

Cloud sync is convenient until it is not: expired accounts, policy blocks, or a day without signal. A complementary habit is boring and strong: one notes file on disk, plus dated copies on a USB stick or external drive. SEO Note fits this model because your archive is a normal local file you can see in File Explorer — not a mysterious sync blob you hope the vendor still hosts next year.

What you are backing up

Not “the app”, not a cloud workspace — the data file you created or opened in SEO Note. Treat it like a critical spreadsheet: save often (Ctrl+S), then copy the file. If you lose the PC and still have last week’s file on a stick, you are fine. If you only have the installer, you have an empty program.

Rule: the backup is not real until you have opened it once and found a note you wrote recently. A zip that “looks full” in Explorer is not a restore test.

Keeping the installer next to backups saves panic on a fresh PC. Name current the live mirror you overwrite on each routine copy; keep archive as dated history so a bad save does not overwrite every past good copy.

Weekly backup ritual

1 Ctrl+S in SEO Note; close cleanly if done
2 Copy data file → USB current\
3 Once a week: dated zip → archive\
4 Eject the USB safely
  1. In SEO Note press Ctrl+S (and close cleanly if you are done for the day)
  2. Copy the data file into USB:\Backups\SEONote\current\
  3. Once a week, zip a dated copy into archive\
  4. Eject the USB safely — do not yank it mid-write

Daily copy into current is enough if the file changes a lot. Weekly dated zips protect you from “I overwrote current with a broken file and have no older version.” After a big import or tree reorganize, make an extra dated zip before more experiments.

Restore test (do this monthly)

2 Open the backup copy (unzip first if needed)
3 Find a known recent note
4 Fix the process if anything fails
  1. On the same or another PC, install SEO Note if needed (use the copy in tools\)
  2. Open the backup copy — not only the zip listing in Explorer
  3. Confirm a known recent note is present and readable
  4. If the test fails, fix the process before you need it in an emergency

Common failures: you copied an old path; the file was still open and the copy was stale; the stick’s filesystem corrupted a large file. Catch those on a calm Tuesday, not on a travel Monday.

  • BitLocker on the laptop helps the primary file; the stick still needs its own discipline

Naming tips that prevent chaos

  • Stable master filename (work-notes) plus dated archives
  • Put the date in the zip name, not only in folder metadata
  • Keep top-level tree roots stable so you recognize the file after months
  • Avoid final-final-v3.dat — that is how you lose which copy is current

When cloud still helps

You can still use cloud storage as another copy of the encrypted zip — that is “file sync”, not “notes SaaS”. The key idea remains: you always have a file you understand. More context in offline notes without cloud.

Cloud as a third copy is useful after fires and theft. Cloud as the only copy recreates the dependency you were trying to escape. Prefer: disk master → USB → optional encrypted off-site zip.

If you use a cloud drive only as a shelf for encrypted zips, do not edit the live notes file directly from a synced folder without discipline: temporary copies and name conflicts show up fast. Safer pattern: copy the zip after you close SEO Note, instead of treating a Dropbox/OneDrive path as the primary master.

Once a quarter, prune archive\: keep the latest zip per month plus a few key rollback points (before a big import, before a structure change). A hundred near-identical weekly zips do not make you safer — they make the useful date harder to find.

Honest limits

  • You are the backup operator — no magic “vendor will restore me”
  • Cheap sticks fail; keep at least two physical copies for anything you care about
  • SEO Note does not auto-push to USB; the ritual is the feature

How often? Copy to current when you finish a serious session; dated zip weekly (or after big changes).

What if I forget the stick? You still have the PC file. Make the stick catch up the same day you remember — do not invent a second “temporary master” on a random flash drive from a drawer.

Can I use an SD card or external SSD? Yes. Same layout. Prefer something you will actually carry and plug in.
