Rough character counts and relative cost bands. Assume ~4 characters ≈ 1 token for English-ish text (a blunt rule of thumb — real tokenizers differ). Prices change; the ratio matters more than the currency.

What to paste + cost-aware prompt

Paste Facts, Decisions, and the question. Cap length: if it does not fit on one screen of the note, cut before you copy. Ask for a short output so you do not pay twice.

Do not paste the whole vault to “save time.” You pay in tokens, attention, and privacy. Skip passwords, client secrets, health details, and other people’s PII — see what not to paste. Smaller curated pastes are almost always cheaper and safer.

How-to: cut cost in one sitting

1. Pick the last AI session where you pasted “a lot.” Estimate characters (word processor count is fine).
2. Create Brief — YYYY-MM under that project. Move only the lines the model actually used.
3. Save the low-cost prompt under AI prompts (library pattern: prompt templates).
4. Re-run the same question with the brief only. Compare answer quality — usually close enough, sometimes better.
5. Write accepted outcomes into the project node; leave the chat. Optionally note “approx. size pasted” under AI scratch if you track spend.
6. For weekly journals, follow daily → weekly review instead of daily dumps.
7. Use PARA or project parents so “related” does not mean “select all”: PARA in a notes tree.

When a longer paste is still rational

Cost is not the only axis. A one-time migration (“turn these twelve meeting bullets into a single decision log”) can justify a medium paste if you will never send that blob again and you immediately write the result back into one Brief node. What burns money is repetition: the same 40k characters every Monday. If you need multi-step work, paste the brief once, keep follow-ups short (“expand item 3 only”), and avoid re-attaching the vault each turn.

Batching helps: three small project questions in three short sessions often beat one mega-prompt that asks the model to “handle my whole week.” Output caps matter — “max 8 bullets” is a budget control, not just style. For Russian or mixed-language notes, character-to-token ratios differ; still use relative sizing (one screen vs ten) rather than obsessing over a fake universal price.
